How long we keep information

How long we keep information


We only keep personal data for as long as necessary for the purposes for which it was collected. Our retention periods are guided by business need, relevant legal obligations, and best practice recommendations (such as those from the National Archives).

We review the data we hold at regular intervals and securely delete or anonymise information that is no longer required. Our current retention schedule is:

  • Contact details (customers) - To manage accounts and deliver services - Up to 6 years after last interaction - Deleted or anonymised
  • Purchase/account history - Financial records and customer service - 6 years (legal/accounting requirement) - Archived for audit, then securely deleted
  • Payment details (non-recurring) - Transaction processing - Immediately after processing - Not retained
  • Email marketing preferences - To manage consent - Until withdrawal of consent - Deleted upon request
  • Website usage data (e.g. cookies) - Analytics and website performance - 14 months - Anonymised or deleted


We assign responsibility for maintaining and reviewing this schedule to our Data Protection Lead. If a change in business practice or legal requirement arises, the retention periods are reviewed accordingly.

If you remain unhappy with how we’ve used your data after raising a complaint with us, you can also complain to the ICO.
